KIPP Metro Atlanta is part of the nation-wide KIPP non-profit network of 255 college-preparatory, public charter schools educating more than 100,000 early childhood, elementary, middle, and high school students. KIPP Metro Atlanta currently operates eleven KIPP schools including four primary schools, five middle schools, one K-7 school, and one high school, as well as the KIPP Forward program which supports students on their journey “to and through” college.

The regional support team provides financial and operational support and oversight to KIPP Metro Atlanta schools, develops instructional initiatives designed to strengthen the schools’ academic programs, and implements each school’s high school placement and alumni services through the KIPP Forward program.

Job Description

KIPP Metro Atlanta Schools' Regional Support Team is seeking a highly motivated and detail-oriented Payroll Associate. The Payroll Associate will complete activities associated with payroll, benefits, and HR systems. The Payroll Associate will also support finance platforms, including Paycom, our HRIS, Concur, and SunTrust.

As a Payroll Associate, your core responsibilities include:



Payroll

  • Supports semi-monthly payroll process for over 650 employees (non-exempt and exempt) at 12 sites, growing to 850 employees and 15 sites by 2024. This includes executing the payroll process in Paycom, KIPP Metro Atlanta’s HRIS.
  • Completes semi-monthly payroll review, including verifying payroll correctness and ensuring payroll is on-time, accurate, and in compliance with state/federal law, internal policies, and employee communications.
  • Supports employees in using Paycom with user administration, answering support needs around clocking in/out, requesting PTO, password resets.
  • Reviews hourly timecards to ensure time is accurately entered and approved.
  • Processes garnishments, child support orders, tax levies, quarterly tax verifications, and worker compensation reports.
  • Processes employee changes and benefit deduction updates.
  • Assists with benefits administration by ensuring deductions are correct.
  • Reviews benefits bills and allocates funds among schools in our accounts payable platform; performs audits, and collaborates with HR team and benefits broker to resolve issues.
  • Processes required documents through payroll and insurance providers to ensure accurate record keeping and proper deductions.
  • Maintains accurate leave trackers for FMLA, medical, and COVID-leave.
  • Ensures appropriate filing and recordkeeping for hard and soft copy invoices and approvals
  • Assists with the maintenance of employee information in district partner’s systems.
  • Runs regular reports from HRIS for various stakeholders, including grant reports.
  • Creates and maintains accurate records regarding the certification and Highly Qualified (HQ) status for all KIPP Metro Atlanta Teachers
  • Supports in the gathering, review, and related follow-up of documentation for new hires, such as tax forms.
  • Supports annual benefits audits (medical, dental, vision, Life/LTD).
  • Participate in monthly collaborative meeting with the Payroll and HR teams.

Finance

  • Administer Financial systems such as Concur (accounts payable) and the corporate credit card platforms to support users with access and training.
  • Review invoices for accuracy and completeness, and assign to appropriate state for coding and data entry in the online accounts payable system.
  • Prepare files for next fiscal year.
  • Box, label, and archive old files.

Special Assignments and Additional Support

  • Assist in development, implementation, and documentation of new or revised process to enhance departmental workflow.
  • Support KIPP team members with processing payments, compiling documents, and meeting special filing requirements for multiple grants.
  • Provide additional support to all members of the Finance Team, as directed.
Qualifications
  • Bachelor’s Degree preferred
  • At least 1 year of relevant professional experience preferred
  • Nonprofit sector experience preferred
  • Ability to communicate clearly and professionally
  • Excellent oral and written communication skills
  • Highly detailed-oriented and organized
  • Proficient in Microsoft Excel, PowerPoint, and Word
  • Team player and self-starter
  • Strong ability to multitask and fluidly manage multiple detailed work streams
